About this job

The Deputy Academic Operations Manager plays a key role in the successful implementation, coordination, quality assurance, and operational management of outsourced Modern Foreign Language (MFL) programmes for students from Grade 6 to Grade 12 across all VAS campuses.

The position requires close collaboration with external language providers, campus leadership teams, procurement, timetabling teams, academic division, and operational stakeholders to ensure the effective delivery of high-quality MFL programmes aligned with VAS expectations, contractual obligations, and strategic goals.

Reporting to the Senior Academic Operations Manager – Deputy Academic Operations Manager is responsible for the following, non-exhaustive list, of responsibilities.

Scope of the role

MODERN FOREIGN LANGUAGE PROGRAMME MANAGEMENT

Programme Coordination & Operations

  • Coordinate the implementation and day-to-day operations of outsourced MFL programmes (French, Mandarin, Japanese) across all VAS campuses.
  • Ensure effective communication and operational consistency between external vendors, campuses, Central Academic Team (CAT), Procurement, and relevant stakeholders.
  • Coordinate student placement processes, including placement testing, baseline assessments, pathway transitions, class allocation, and student grouping.
  • Coordinate with campuses and timetabling teams on MFL timetables.
  • Monitor programme implementation to ensure compliance with contractual agreements, operational expectations, and academic standards.
  • Ensure smooth onboarding and orientation processes for vendor teachers, including school policies, safeguarding expectations, operational procedures, and reporting requirements.
  • Coordinate and support MFL-related events, competitions, enrichment activities, examinations, parent-teacher conferences, and school activities.

Academic Quality Assurance

  • Review and monitor vendor-provided curricula, teaching materials, assessments, examination papers and reporting systems to ensure alignment with VAS academic expectations and programme outcomes.
  • Work closely with vendors and campus leadership teams to monitor teaching quality, student engagement, classroom practices, and programme effectiveness.
  • Coordinate classroom observations, feedback collection, and performance reviews for vendor teachers where required.
  • Ensure all student assessments, progress reports, examination results, and academic documentation are completed as per the school’s timelines.
  • Analyse programme data, student performance trends, attendance records, and operational reports to support continuous improvement initiatives.
  • Stay updated with developments and best practices in modern foreign language education and support the integration of innovative teaching approaches where appropriate.

Vendor & Contract Management

  • Serve as the key operational liaison between VAS and external MFL vendors.
  • Monitor vendor performance against agreed contractual obligations, service standards, staffing requirements, and programme deliverables.
  • Coordinate with campuses to verify and confirm actual teaching periods, attendance records, invoices, and payment documentation.
  • Maintain accurate records of vendor teaching allocations, attendance, timetable changes, replacement teachers, and service delivery adjustments.
  • Support contract implementation, service reviews, renewal discussions, and vendor performance evaluations.

Examination & Student Support

  • Coordinate registration of students for external language proficiency examinations such as HSK, DELF Junior, JLPT, and other relevant assessments.
  • Coordinate with campuses and vendors to support student academic progress and programme continuity.

Reporting & Administration

  • Prepare and maintain accurate programme documentation, reports, student lists, assessment records, timetables, vendor reports, and operational data.
  • Ensure confidentiality, accuracy, and proper management of all programme-related records and information.
  • Prepare operational summaries, utilisation reports, and programme updates as required.
  • Support planning processes during peak operational periods including admissions, class planning, assessment periods, and academic transitions.

Key Responsibilities

  • Ensure the effective, efficient, and compliant implementation of outsourced Modern Foreign Language programmes for Grades 6–12 across all VAS campuses.
  • Ensure consistency and quality of MFL programme delivery, student learning experiences, assessments, and reporting across campuses.
  • Maintain strong operational partnerships with external vendors and stakeholders to ensure high service standards and programme continuity.
  • Support continuous improvement through data analysis, quality assurance processes, and operational monitoring.
  • Ensure accurate coordination of programme logistics, timetabling, reporting, examinations, and vendor performance management.

Additional Duties

  • Foster a positive and inclusive school culture that promotes the well-being and academic achievement of all students.
  • Collaborate with other school leaders to support the overall strategic goals of the school.
  • Participate in school events, meetings, and committees as required.
  • Perform other duties as assigned by Senior Academic Operations Managers and the academic leadership team.

II.Requirements

  • Bachelor’s degree in Education, Modern Foreign Languages, or a related field; Master’s degree preferred.
  • Coordination / Project management experience.
  • MFL teaching experience 
  • Fluent Vietnamese & strong English skills; knowledge of an additional language is a plus. 
  • Excellent communication and interpersonal skills.
  • Self-motivated with a flexible approach to work.
  • Ability to work under pressure and as a positive team member; ability to prioritise and meet deadlines; commitment to continued improvement and development.

III.Benefits:
